Congratulations on your decision to include Keap Max Classic as the central component of your business tech stack. We know you have many options, and your decision to go with Keap was carefully considered. Our goal with this onboarding is to support you in getting the most from this powerful system.

Below are several important items for you to begin working on and/or become aware of. If you have any questions, please bring them to our kickoff meeting.

 Pre-export Database Review and Cleanup

Moving is a great time for throwing out what is no longer needed. But while it feels so good to reduce the clutter, it’s important that you maintain all data that may be useful to your business either now or in the future.

Here are our suggestions for this process:

  1. If you do not already have a global customer designation (a tag, list, field, or property), create one and apply it to all customers, no matter how long ago they bought or how small the purchase. If they paid you money, we want to keep them in your database.
    NOTE: when we say “global,” we mean a single designator applied to all contacts. If you have individual designators based on what was purchased but not a single designator, use the individual ones to aggregate your data and then apply the single designator “globally.” 
  2. Run a report of all contacts who are unsubscribed or similarly non-mailable. If you do not already have a global designator for this group, create one and apply. 
  3. Pull a list of all contacts who have BOTH the global customer designate and the non-mailable. Create and apply a designator for these contacts.
    NOTE: we WILL want to bring these contacts into Keap, but it is essential that we import them separately from the rest since they are unsubscribed from your current system, they will be imported as non-mailable (non-marketable) contacts in Keap. 
  4. Non-customer, non-mailable contacts will be excluded from your import. However, you may want to use these contacts to create custom audiences for your paid advertising accounts on social networks. You can export the non-mailable contacts and host them remotely – either in the cloud or saved to a local computer. It is never recommended that contacts be deleted outright without a backup of that data.
  5. Identify ALL data that you want to import into Keap with the contact database. Also, identify any data that you no longer need. This step is essential for the accurate matching of the current system with how data will be organized and stored in your new Keap application.

Run a Test Export

Pull a random sample of 25 contacts and export it as a CSV file, and email that export to us for assistance in the next step, which will be cleaning up the exported data for a clean and accurate import to Keap. We will provide specific guidance based on your unique needs.

Branded Images

Please upload your logo, email header(s), product/program images, etc., into the Google Drive folder we provided so that we can utilize them for creating your email templates and other structures as needed.

Access and Password 

Even though you will be handling the database export from your current systems we may want access to those systems depending on which systems you are using currently. If so, we will either request that you add us as a user or will collect your login information through a secure channel. Please don’t email access credentials to us.
